Manage campaigns

Open Creative Workflow to see the campaigns overview. You can switch between the grid and list view to display your campaigns. whereas the list view gives a more detailed view. Use the available filters to narrow your results. Use the sidebar on the left side to directly go to a campaign.

The filter bar can be used to filter your campaigns. Here you can find your Workflow metaproperties, which you can use as a filter or use one of the available standard filters. Use one of the filters below to find the information you need.

Tip

When you no longer want to apply a filter, click on next to the applied filter to remove it.

In Workflow, click Create new > Campaign.
Enter the campaign name and set the start and an end date for the campaign.
Enter a short campaign key, usually three to four characters long.
Select the person responsible for the campaign.
If you want the campaign to have a tile visible in the overview, upload or select an image.

In the campaign overview, hover over the campaign you want to close. Click the close icon.
Decide if you want to close the campaign, or close and remove it. If the campaign is closed, it still displays in the overview, and you can reopen it when needed.

If you are an administrator, you can view closed campaigns and reopen them if needed.

In the campaign overview, click the Show closed campaigns button.
Click the reopen icon for the campaign you want to reopen.

In the campaign overview, hover over the campaign for which you want to export data.
Click the export icon.
Select the data that needs to be exported. You can also select the metaproperties you want to export.
Click Export to generate a CSV file.

Once you've exported the campaign data open the file in your preferred document viewer. You may have to format the text to columns in order to have a better overview.

Each job that belonged to the campaign you exported will be represented in a row. Each job row has a unique Job Code. If a job has multiple stages and/or uploaded assets you can find those details in the underlaying rows.

Find out below what each column represents:

Job Code

This a unique identifier, which combines the Campaign key followed by the Job number.

Job Number

This value indicates the number of the jobs created within the campaign.

Job Name

The name of the job.

Job Date Created

The date and timestamp the job was created.

Job Created By

The user who created the job.

Active Stage

The stage that was active the moment the export was generated.

Job Status

The status of the job.

Job Deadline

The deadline of the job. The deadline is purely informative and won't automatically close the job.

Job Date Finished

The date and timestamp the job was finished.

Stages

This value indicates the number of stages the job consists of.

Assets

This value indicates the number of assets uploaded to the job.

Job metaproperty: XXX

This column shows the data of the metaproprety you've chosen to include during the export.

Asset Name

The name of the uploaded asset.

Asset Status

The status of the asset the moment the export was generated.

Asset Version

This value indicates which version of the asset this is.

Asset Date Created

The date the asset or asset version was uploaded to the job.

Asset Created By

The user who uploaded the asset or asset version.

Asset Annotations and Comments

This shows the annotations and comments left for the asset. The annotations and comments are separated with a comma ",".

Type Index The type index gives you more information about what the row in the CSV file represents in relation to the portal.

Type 1
A type 1 row indicates that this row is a job and shows information on a job level.
Type 2
A type 2 row indicates that this row is a stage and shows information on a stage level.
Type 3
A type 3 row indicates that this row is an asset and shows information about that particular asset.

You can create presets for your campaigns. Presets work like templates for campaigns in that they define basic campaign settings so that you do not have to set up each campaign from scratch. You can also add metadata to presets, which will later display in as tile information in campaigns created with these presets.

Before you begin

Make sure you have the following rights enabled in Settings > Users & rights > Permission Management:

Create presets
View presets
Create campaigns based on presets

Try it

Go to Settings > Workflow > Preset Management.
Click the Campaign hyperlink.
Click Add preset.
Create your preset:
- Decide if you want to hide fields such as: deadline, description or the start date.
- Decide if you want to hide or show the campaign based on the preset in the campaign overview.
  Note
  You can see your hidden campaigns if you go to YourWebisteURL/workflow/showHiddenCampaigns=1.
- Manage who should be able to view the preset. You can manage this on a group or profile level.
- Create custom form labels, for example, change the word "Campaign" or "Description".
- Add mataproperties that will display in as tile information in the campaign that you create based on that preset.
  Note
  The tile metaproperties cannot be edited by regular users.
Save your changes.

Results

You can now start a campaign based on a preset. Go to Workflow, click Create new and select the campaign preset you've created to start a campaign based on this preset.

To filter your campaigns better, you can create metaproperties and use them as filters in workflow so that you can filter campaigns on metaproperty values.

Note

Make sure you create the metaproperty in Settings > Taxonomy > Metaproperties management first.

Go to Settings > Workflow > Metaproperty management.
Click on the Campaign hyperlink.
Map the Asset Library metaproperty onto a workflow metaproperty.
Create a new campaign based on a preset. See Create a preset.
Select the created workflow metaproperty the campaign preset.
Contact your Customer Support Manager to help you set up filters.

Make sure you set up the tile information before adding jobs to campaigns.

Go to Settings > Workflow > Metaproperty Management.
Select the Campaign hyperlink.
Create the metaproperties you want to use on campaign tiles.
Create a new campaign based on a preset. See Create a preset.
Select the created workflow metaproperty the campaign preset.
Create a new campaign based on the created preset.
In the campaign overview, hover over the campaign and click the edit icon.
Click Manage tile info.
Select the metaproperties to display.
Click Back.
The metaproperties now display in the Additional information section. Select the metaproperty values.
Save your changes.

The list view gives you a detailed overview of all your Creative Workflow campaigns. Make it even easier to find the information you need by adding your own Workflow metaproperties as a separate column to your list view.
