Workflow annotations

Annotations make it easier to collaborate within Creative Workflow. When users have added assets to a Workflow job, you can comment on the details of these assets by adding annotations to specific parts of the image or video. You can for example make remarks or leave questions for your team member. Other users can review these annotations and approve or reject them. Find out below how you can add, audit, remove and export Creative Workflow annotations.

When users have added assets to a Workflow job, you can comment on the details of these assets by adding annotations to specific parts of the image.

You can annotate images and videos. However, in videos you can annotate with text, but not with the shapes. To annotate a video, just pause it and add a comment. When you replay the video, your comment will appear at the time and place you left it in. If you want to jump to this particular time frame in the video, simply click on the annotation on the right.

When you add annotations to assets or videos, the users who have uploaded this image or video will be notified by email so they can update the asset or simply reply to you.

How to add an annotation?
  1. Go to Workflow.

  2. Open a job and click on the asset attached to the job.

  3. On the detail page, click on the image to add an annotation. Write your comment and hit Enter.

    Optionally, you can tag users by entering @ before their name. For example, @John. When you start typing the name, suggestions will display. Click the suggested user you want to tag. The person will receive an email notification

    • Use the action bar to circle areas and add comments to these areas, zoom in or out, rotate the asset, change color of the pointers or circles

  4. (Optional) Decide if you want to make the annotation private and select a person that can see the annotation.

    Note

    You need the Add private annotations permission to add private annotations.

  5. Click Save on the annotation.

All annotations are displayed on the right-hand side of the image. Click on the number next to the image, or hover over the number on the image to open the comment box again.

When you're collaborating on multi-page documents it can be hard to keep an overview of the feedback given by other users. That's why Bynder lists the annotations in the order of the pages of your document. The annotations for the first page will be at the top of the list and the feedback given for the last pages can be found at the bottom. On a page level the annotations are ordered chronologically.

Behind each annotation in the Asset notes sidebar Bynder indicates on which page you can find the feedback.

Tip

Click an annotation in the Asset notes sidebar to directly go to that page.

When the feedback provided in an annotation has been implemented or when an annotation is no longer necessary you can resolve it. Resolved annotations are marked as resolved_annotation.png in the Assets notes list in the right sidebar.

  1. Click the annotation you want to resolve in the Asset notes list in the right sidebar. The annotation will appear.

  2. Click Resolve in the annotation. The annotation will be marked as resolved in the Asset notes list.

  1. Click the annotation you want to unresolve in the Asset notes list in the right sidebar. The annotation will appear.

  2. Click Unresolve in the annotation. The annotation will be marked as unresolved in the Asset notes list.

To have better control over annotations in Workflow, you can allow some users to edit and/or delete annotations created by other users in Workflow.

Note

Make sure you have this feature enabled for your account. Contact your Bynder Customer Success Manager for information and help with the setup.

Try it
  1. If you are an administrator, go to Go to settings_menu.pngSettings > Users & rights > Permission Management and enable:

  • Edit any annotation: for users to be able to edit the annotations they did not create.

  • Delete any annotation: for users to be able to delete the annotations they did not create.

    Note

    If users have Workflow admin rights they can edit and delete annotations without extra permissions enabled.

  1. Go to Workflow and open a job.

  2. Click on the asset in a job to open a page where annotations have been inserted.

  3. Select an annotation in Asset notes to edit or remove it

Note

  • You cannot edit an annotation that has been resolved.

  • Currently, you cannot track users who have edited or removed an annotation.

Users can add annotations to Workflow assets. For example, to ask for approval for using certain material within a visual or whether the information they wrote is correct. You can easily respond to their questions or needs by auditing their Workflow annotations.

  1. Go to the overview screen of the Workflow job or click on the Workflow asset with the annotation you want to audit.

  2. Scroll to the comment section and make sure the filter Show activities about is on All, Messages or Annotations.

  3. Below the annotation in the comment section you will see the icons to audit the annotation.

  4. Click thumb_up.png to approve the annotation, leave a comment and click on Post this comment. Your review will be posted below the annotation.

  5. Click thumb_down.png to reject the annotation, leave a comment and click on Post this comment. Your review will be posted below the annotation.

Do you want to approve an annotation that you rejected before or the other way around? You can easily do this by clicking on the opposite icon, leaving a new comment, and clicking on Post this comment.

Optionally, you can remove your previous review by clicking remove.

Would you like to have an overview of all the annotations that were added to a Workflow image or video? With our PDF export you will have all the information you need in one place. The export will give you insights into all annotations made as well as more information on the Workflow job and campaign of the asset. For each annotation you can see the status, the user who added it, the date it was posted and the actual annotation. Follow the steps below to make a PDF report.

  1. Contact your Customer Success Manager, so that they can help you with setting up this feature.

  2. Go to the Workflow job where you can find the asset with the annotations you want to export and click on the asset.

  3. In the detail screen click on Download PDF Report and your PDF report will be downloaded. If the button is not available check the table below to see if a PDF report can be created for your file extension.
