User Permissions & Types of User Profiles

Bynder categorizes users into three groups: Light, Regular and Heavy users. The exact number of seats per user profile that you have at your disposal is specified in your contract.

Whether a user is a Regular, Light or a Heavy user depends on the set of rights they have. If a user group has one or more rights that belong to the rights of a Heavy user, the group will automatically fall under a Heavy user profile. If a group doesn't have any Heavy user rights, but it does have one or more rights that belong to Regular users, the group will fall under a Regular user permission profile. The same logic applies for Light permission profiles.

As an administrator you have the flexibility to create permission profiles that match with the responsibilities of your employees. For example, a DAM permission profile for users who mainly work in the DAM or a Creative Workflow profile for users using and/or managing the Creative Workflow.

To help you monitor how many active users there are in each profile, you can verify the numbers on the Permissions page or in the Cockpit. The count displays active users against all users of a specific profile. Click the profile hyperlink to view the list of all active and inactive users.

Rights of Light, Regular and Heavy users

Bynder has a default set of rights that defines the Heavy, Regular and Light user types. You can customize this default setting by adding or subtracting rights from the user types. However, when you upgrade users by giving them more rights, they can move, for example, from Regular to Heavy users. If you reach your user limit, you might have to deactivate some users or contact your Customer Support Manger to extend the number of users per user type. The rights that are not mentioned in the table do not influence the user profile type.

  • Crop asset - Allows users to crop assets using the cropping tool.

  • Download limited usage assets - Allows users to download assets marked as limited usage.

  • View limited usage assets -Allows users to view assets marked as limited usage.

  • Download original assets - Allows users to download the original uploaded assets and view public links.

  • Download public asset derivatives - Allows users to download asset derivatives marked as public.

  • Upload assets with mandatory approval - Allows users to upload assets for approval. All uploads will need to be approved by an administrator.

  • Download non-public asset derivatives - Allows users to download the non-public asset derivatives.

Brand

  • View assets for all brands - Allows users to view assets for all brands.

Collections

  • Embed collections - Allows users to create an embed code to embed the collection.

  • Feature collections on dashboard - Allows users to add created collections to the homepage.

  • View collections other users shared - Allows users to view the collections that other users shared.

  • View collections of other users - Allows users to view collections that other users created.

  • Publish collections online - Allows users to publish created collections.

  • View collections other users received - Allows users to view the collections other users received.

  • Access to collections published online -Restricts users from viewing the collections published online.

  • Create collections - Allows users to create collections from assets.

  • Transfer collection ownership - Allows users to transfer the ownership of a collection.

Content Customization

  • Manage content customization - This permissions is necessary for maintenance by Bynder and shouldn't be enabled for admin and/or user profiles.

Homepage

  • Manage news - Allows users to manage news.

  • Manage quicklinks - Allows users to manage quicklinks

  • Restrict access to the dashboard - Hides the dashboard/homepage for users.

Preset

  • Share metadata presets - Allows users to share metadata presets.

Reporting

  • View cockpit - Allows users to view portal’s storage and user licenses.

  • View change history - Allows users to access Change history data.

  • Export insights data - Allows users to export insights to a CSV file.

  • View advanced reporting - Allows users to access Bynder Analytics.

  • Export user data - Allows users to export comprehensive user data to a CSV file.

Sharing

  • Create general asset bank filters - Allows users to create general Asset Bank filters for portal-wide usage.

  • Share assets - Allows users to share assets.

  • Create personal asset bank filters -Allows users to create and share their personal Asset Bank filters.

  • Share assets with user groups - Allows users to share assets with user groups.

  • Access to Bynder express - Allows users to share files using the Bynder Express.

  • View personal transfer history - Allows users to view their Bynder Express transfer history.

  • View transfer history from others - Allows users to view the Bynder Express transfer history from others.

  • Manage 'require login' on shares - Allows users to ensure that only logged in users can access their share.

System Admin

  • Manage look & feel of the portal -Allows users to change the background of the login page and the logo.

  • Create Bynder API tokens - Allows users to create API tokens.

     

  • View Bynder API tokens - Allows users to view API credentials.

  • Revoke Bynder API tokens - Allows users to revoke API credentials.

  • Manage portal settings - Allows users to access portal settings.

  • Restore removed assets- Allows users to restore deleted assets.
