Additional Files

Do you have a file with extra information that you would like to attach to an existing asset? You can upload these type of supporting files as an additional file to an existing asset. For example, the release form of a photographer that you would like to attach to the actual photo asset or a sheet that supports and explains the data of your presentation asset in more detail.

Do you want to update the original file of an asset without having to tag the asset from scratch? Instead of adding an additional file upload your updated file as a new version.

Note

The maximum allowed file size for an additional file is 4GB.

Additional files can be uploaded to an existing asset as a way to give more detailed or supporting (background) information about the asset. For example a waiver for the people who have participated in your video asset or a release form of a photographer.

Additional files are available for download in the Info and Versions tab of the Asset Detail view. Users need a permission to download additional files. This way, you can regulate which permission profiles should be able to download additional files.

There is no preview available for additional files and the maximum allowed file size for an additional file is 4GB.

How to Set Up Additional Files

The additional file feature should be enabled by default for your portal. Follow to steps below for some additional configuration and to set up the permissions for additional files.

  1. Configure which users should be able to view and download additional files. Go to settings_menu.pngSettings > Users & rights > Permission Management and enable the permission Download asset additionals for the permission profiles that should have the right to view and download additional files. Read more about Permission Management here.

    Note

    Contact your Customer Success Manager if this permission is not available in your Permission Management.

  2. Click Save to save the changes.

  3. (Optional) In the Download Preselect screen the option to include additional files can be enabled by default. Contact your Customer Success Manager if you would like to have this feature enabled for your portal.

How to Upload Additional Files

  1. Open the asset to which you want to add an additional file.

  2. Open the Versions tab in the right sidebar and click the add_metadata_preset.png Click to add a file area in the Additional files section.

  3. Select the file from your device that you want to upload as an additional file and wait for the upload to be complete.

    Note

    The maximum allowed file size of an additional file is 4GB.

The additional file will now be available in the Asset Detail View.

How to Download Additional Files

  1. Open the asset where you can find the additional file you want to download.

  2. Make sure you're in the Info tab and scroll to the Additional files section at the bottom of the right sidebar.

  3. Click the additional file to start the download.

How to Delete Additional Files

  1. Open the asset where you can find the additional file you want to delete.

  2. Click the Versions tab and go to the Additional files section.

  3. Click the delete_VBS.png button next to the additional file you want to delete.

    Note

    This action cannot be undone.
